When you merge many PDFs, the hardest part is getting them in the right order. Dragging twenty files around one by one is slow and easy to get wrong. A little planning with file names makes it automatic. This guide shares Quick Cropper tips to sort PDF files by name before merging, using the free Merge PDF tool.
A merged PDF is read from the first page to the last. If chapter 10 comes before chapter 2, or March comes before January, readers get confused. The right file order makes the merged document easy to follow and saves you from merging again.
Orders files by name from A to Z, with numbers from small to large.
Orders files by name from Z to A - useful for newest-first names.
Flips the current list, whatever order it is in.
Quick Cropper uses natural sorting, which reads numbers as numbers. That means file-2 comes before file-10, just as a person would expect. Many basic tools sort letter by letter and put file-10 before file-2.
Rename files so they begin with a number, such as 01-cover, 02-summary, 03-report. Then one click on Sort A-Z puts them in order. Using two digits (01, 02) keeps things neat when you have more than nine files.
For monthly files, name them year first: 2026-01, 2026-02, 2026-03. Sorting A-Z then gives oldest first, and Sort Z-A gives newest first. Names like Jan, Feb, Mar sort alphabetically, not by month, so avoid month names.
If you merge documents of different types, add a prefix for each group, such as A-invoice, B-receipt, C-statement. All invoices come first, then receipts, then statements. Inside each group, add numbers for the exact order.
Open the Merge PDF tool on Quick Cropper and drop all your files on the upload area. Click Sort A-Z. Check the numbered cards - the number on each card is its position in the merged PDF. Drag any file that is still out of place, or use the up and down arrows. Then click Merge PDFs and download.
Sorting sets the overall order, and you can still adjust single files. Use the arrows for small moves and drag for big ones. If you only need some pages of a file, type them in its Pages box, for example 1-3. The result card shows the total pages before you merge.
Sorting changes the order of files, not the pages inside them. To reorder pages within a file, rotate a page or delete one, use Rearrange PDF on the merged result. To pull out part of the merged file, use Split PDF.
Some files named 1 and others 01 can sort oddly - keep one style.
Two files with the same name but different extensions can confuse you.
Always scroll through the merged PDF once before sharing it.
The Merge PDF tool is free, has no watermark and needs no account. It merges up to 50 PDFs in your browser, with natural sorting built in, on any computer or phone.
Renaming many files by hand is slow. On Windows, select files in File Explorer and press F2 to rename them in a numbered series; on a Mac, use Rename in Finder's right-click menu to add numbers or dates. A consistent naming pattern makes every future merge a one-click job.
Good file names turn sorting into a single click. Follow this guide to sort PDF files by name before merging - Quick Cropper guide tips like numbers, year-first dates and prefixes do the work for you. Your merged PDF will be in the right order the first time, every time, giving you a well-organized document with no extra effort.
