Sometimes you want people to read your document but not print it, copy the text or change it - study notes, dealer price lists, draft agreements or paid content. PDF restrictions make that possible. This guide explains how to restrict PDF printing and copying with Quick Cropper tools, using the free Lock PDF tool.
PDF restrictions are settings stored inside the file that tell PDF readers which actions to allow. You can block printing, copying text and images, and editing, comments or form filling. Standard readers such as Chrome, Edge, Adobe Reader and phone PDF apps follow these settings, so readers can view the pages but not use the blocked features.
Share notes and question papers without letting them be printed or copied.
Send dealer price lists that can't be copied into competitor messages.
Share draft contracts and proposals for review only.
Deliver paid guides and templates to buyers.
Upload your PDF to Lock PDF and set an open password - readers will need it to view the file. Tick Also restrict what people can do, then choose Block printing, Block copying text and images, and Block editing as needed. Optionally add an owner password, which lets you change the restrictions later. Click Lock PDF to download the protected file.
The owner password is the master key for the restrictions. If you set one, you can later unlock the file with it and change what is allowed. If you leave it empty, the tool uses a random secret owner password, so the restrictions can't be lifted by anyone with only the open password. Keep your original file if you think you might want different settings later.
Restrictions work well in everyday use, because nearly everyone uses standard PDF readers that respect them. They are not the same as hiding content, though: anyone who can read a page could still take a photo of the screen. For truly secret documents, rely on the open password and share it only with trusted people; use restrictions to discourage casual copying and reprinting.
For paid or confidential content, adding the receiver's name or company to the document before locking makes people less likely to share it, because the file clearly shows who it was sent to. Restrictions plus a personal name is a simple, effective way to protect your content.
Don't block more than you need. If readers must fill in a form, don't block form filling; if they should keep a paper copy, allow printing and block only copying. The right balance protects your work without annoying the people you share it with.
Now you know how to restrict printing and copying in PDF files: set an open password, choose the restrictions and add an owner password if you need flexibility. Quick Cropper's free Lock PDF tool makes PDF copy protection easy, giving you simple control over PDF permissions for every document you share.
Before sending a restricted PDF to many people, test it yourself. Open the locked copy in two or three different readers, such as Chrome on a laptop and a PDF app on your phone, and check that printing and copying are blocked as you expect while reading still works smoothly. Also confirm that form fields work if you left them enabled. A quick test avoids confusion for your readers and makes sure the settings work as intended. Once you are happy, keep the settings you used as a template for similar documents, so every file you share in future gets the same protection in just a few clicks.
