A PDF that is too large to send is one of the most common everyday problems. Email services reject big attachments, and large files are slow to share on mobile data. This guide shows how to compress PDF for email and WhatsApp using Quick Cropper and the free Compress PDF tool.
Most email services allow attachments of about 20-25 MB, and many office email systems allow much less, sometimes only 10 MB. Some recipients' inboxes also reject large messages. To be safe, aim for under 10 MB for important emails, and under 5 MB if you are sending several files together.
WhatsApp can send large documents, but big files take a long time to upload and download on mobile data, and the receiver may not open them at all. A smaller file of 1-3 MB opens instantly on any phone, which is why compressing before sharing makes a real difference.
The Recommended level keeps documents clear and usually cuts the size by more than half.
Strong or a target of 2 MB makes files quick to send.
Use a target size matching the form's limit.
Use Low to keep images at print quality.
Upload your PDF, choose a compression level or a target size, and click Compress PDF. The result box shows the old size, the new size and the percentage saved. The file downloads automatically, and you can download it again from the result box. Then attach it to your email or send it on WhatsApp as usual.
If you need to send many documents, compress each one, then combine them with Merge PDF into a single file. One well-named PDF is easier for the receiver than ten separate attachments. Check the final size before attaching it, and compress the merged file again if needed.
Very long PDFs with many photos may still be large after compression. In that case, remove pages you do not need with Split PDF, or split the document into two parts and send them in separate emails. For scanned documents, the black and white option usually makes a big difference.
Compression creates a new file and never changes the one on your device. Keep the original for printing or archiving, and share the compressed copy. If the receiver needs better image quality later, you can compress the original again with a lighter level.
Name the file clearly before sending, such as Invoice-March.pdf, so the receiver knows what it is. Compress PDFs as soon as you create them, and keep the compressed copy in a folder you share from. For regular reports, the same settings will work every time.
To compress PDF for email and WhatsApp, choose Recommended for email, Strong or a 2 MB target for WhatsApp, and use black and white for scans. Quick Cropper's free tool helps you shrink PDF files in seconds and fixes the problem of a PDF too large to email for good.
Compressing is fast: most PDFs are ready in a few seconds, and even large scans take well under a minute. That makes it easy to compress every file just before you send it, instead of waiting for an email to bounce back. For documents you send again and again, such as a company profile, price list or product catalogue, keep a compressed copy ready so you can share it instantly on email or WhatsApp. Customers and colleagues will appreciate files that open quickly on any phone, and you will never again see a message saying your attachment is too large. Over time, sending smaller files also keeps your sent folder and cloud storage from filling up.
